What We Migrate
We move mailboxes from and to the platforms small businesses actually use:
- From cPanel email and any standard IMAP or POP service
- From Microsoft 365
- From other hosted email providers
- To the platform you choose: cPanel email hosting, a Google Workspace environment, or another provider
Messages and folder structures are transferred for every mailbox. Contacts and calendars are included where both the source and the destination platform support them, and we tell you up front exactly what will carry over in your specific case. Aliases, forwarders, and group addresses are mapped in the plan as well, so nothing that points at your domain gets forgotten.
Our Migration Process
Every project follows the same disciplined sequence:
- Assessment: we inventory mailboxes, aliases, forwarders, data volume, and your current DNS setup
- Plan: you receive a written plan with the timeline, the cutover window, responsibilities, and a rollback path
- Pre-staging: historical mail is copied to the new platform in advance, while your current service keeps running normally
- Cutover: during the agreed window, we synchronize recent messages and switch active use to the new platform
- DNS switch: MX and authentication records are updated so new mail flows to the new platform
- Verification: message counts, folders, aliases, and sign-ins are checked mailbox by mailbox against the inventory
- Post-migration support: we stay engaged after go-live to resolve device reconfiguration and any loose ends
Each phase ends with a checkpoint you sign off on. If anything looks wrong at a checkpoint, we pause and resolve it before moving forward, and the rollback path defined in your plan means the previous platform remains available until you are satisfied.
Zero Data Loss, Minimal Downtime
Our objective on every migration is zero data loss, and the process is built to make that verifiable rather than hopeful: the pre-migration inventory tells us exactly what should exist afterward, and the verification step confirms it does. If a discrepancy appears during verification, it is investigated and resolved before the project closes, not logged and forgotten.
Downtime is engineered out rather than endured. Because the bulk of your data is pre-staged before cutover, the final switch handles only recent messages. We lower DNS TTL values ahead of time so the MX change propagates in minutes instead of days, and during propagation mail is delivered to a live platform on either side, not dropped. Your team keeps sending and receiving throughout the business day.
Once your mail is flowing on the new platform, it is worth confirming your domain’s email authentication — SPF, DKIM and DMARC so your messages keep reaching the inbox.
What Your Team Will Notice
Very little, which is the point. Before cutover, everyone works exactly as they always have. During the cutover window, usually outside business hours, mail keeps arriving while we switch platforms behind the scenes. Afterward, the visible change is limited to reconnecting mail apps and phones to the new platform, and for exactly that step we provide simple instructions plus hands-on help through our ticket system.
What We Need from You
A smooth migration depends on a few things only you can provide:
- Administrative access to your current email service, or temporary delegated access for the project
- A list of mailboxes, aliases, and group or distribution addresses that must survive the move
- Access to your DNS, or the details of your registrar or DNS provider so we can coordinate changes
- A preferred cutover window, typically an evening or weekend with low mail traffic
- A point of contact who can confirm results after each phase
If any of that sounds unfamiliar, do not worry: the assessment exists precisely to figure these details out together, and access can be granted in ways that keep your credentials under your control. Where your current provider imposes transfer limits or throttling, we account for it in the schedule rather than discovering it mid-move.
