Plan, Migrate to, and Run Google Workspace with a Team on Your Side

Google Workspace gives your business professional email on your own domain plus the collaboration tools modern teams expect. Xponzy is the team that makes it work for you: we assess your current setup, plan the move, migrate your mail and files, configure your domain and DNS correctly, and support your users long after go-live. You get the platform from Google and the hands-on guidance of a provider that already manages your hosting, domains, and email.

One honest note before anything else: direct availability of Google Workspace licenses through Xponzy is pending authorization, and we are preparing our application to become an authorized reseller. Our consulting, migration, and managed support services are available today, and you can join the waitlist to be notified the moment licensing opens.

What Is Google Workspace?

Google Workspace is a cloud productivity suite from Google LLC. It bundles business email through Gmail on your own domain, cloud file storage through Google Drive, video meetings through Google Meet, shared calendars through Google Calendar, and collaborative documents, spreadsheets, and presentations, all tied to one account per user and accessible from any browser or mobile device.

Because everything runs in the Google cloud, there is no mail server for you to maintain and no office computer that holds the only copy of anything. Your team signs in from wherever they are, work saves automatically, and two people can edit the same document at the same time without emailing versions back and forth. For many small businesses it replaces a patchwork of separate tools with one subscription per user. You can read the official product overview at workspace.google.com.

The Core Apps

Gmail on your own domain

The familiar Gmail interface with addresses like name@yourcompany.com. Your team gets strong spam filtering, fast search across years of mail, and the same inbox on desktop, web, and phone, while your business gets addresses it actually owns.

Google Drive

Cloud storage for company files with sharing you control. Keep documents out of inboxes and off personal devices, decide exactly who can view, comment, or edit, and find any file from any device.

Google Meet

Video meetings that run in the browser, so clients and partners can join from a link without installing anything. Calls can be scheduled straight from an email thread or a calendar event.

Google Calendar

Shared calendars that make scheduling visible across the team. Check availability before proposing a time, book shared resources, and let meeting invitations carry the video link automatically.

Docs, Sheets, and Slides

Documents, spreadsheets, and presentations that several people can edit simultaneously, with comments, suggestions, and version history built in. The days of files named final-v7-REAL are over.

Administration and Security

Google Workspace includes an administration console with business-grade controls. These are Google product capabilities, and specific features vary by edition; Xponzy helps you choose the right settings and operate them day to day:

  • User management: create accounts as people join, suspend or remove them when they leave, and organize users into groups so permissions follow roles rather than individuals
  • 2-Step Verification: require a second factor at sign-in so a leaked password alone is not enough to breach an account
  • Endpoint management: apply policies to the phones and computers that access company data, including the ability to remove company data from a lost device, depending on edition
  • Data controls: sharing rules, access permissions, and retention options that determine how information moves inside and outside your organization

The platform and its security features are provided by Google LLC. What Xponzy adds is configuration matched to how your company actually works, so security is enforced by settings rather than by memory.

Migrating Your Email to Google Workspace

From cPanel or IMAP email

If your mail lives on cPanel hosting or any standard IMAP service, we transfer messages and folder structures into Gmail mailbox by mailbox, then verify the results against a pre-migration inventory. This is the most common migration we perform, and the process is thoroughly rehearsed.

From Microsoft 365

Moving from Microsoft 365 involves mail, calendars, and contacts. We plan the mapping between the two platforms, migrate the data, and help your team translate familiar workflows into the Gmail and Google Calendar way of working, so productivity does not dip while habits adjust.

Our six-step migration process

  • Assessment: inventory of mailboxes, aliases, data volume, and your current DNS
  • Plan: a written timeline with the cutover window and a rollback path
  • Pre-staging: historical mail copied in advance while your current service keeps running
  • Cutover and DNS switch: recent messages synchronized and MX records repointed during the agreed window
  • Verification: message counts, folders, and sign-ins checked for every user
  • Post-migration support: we stay engaged while your team settles in

DNS Done Right: MX, SPF, DKIM, and DMARC

A Google Workspace deployment succeeds or fails in DNS, and this is where Xponzy is strongest. We configure the MX records that route your mail to Google, publish an SPF record that authorizes Google servers to send for your domain, enable DKIM signing from the administration console, and roll out a DMARC policy gradually so legitimate mail is never disrupted while spoofing gets shut down.

Because we also manage domains and DNS zones directly, we lower TTL values before your cutover so the switch propagates in minutes rather than days, and we keep the authentication records current as your setup evolves, for example when you later add a newsletter platform or CRM that sends as your domain.

Managed Support from Xponzy

Google provides the platform; we make sure it serves your business. Managed support from Xponzy covers:

  • Onboarding help for your team during the first weeks, when questions are most frequent
  • Guidance on provisioning new users and cleanly offboarding departing staff
  • Incident help through our ticket system when mail, access, or devices misbehave
  • Best-practice recommendations on sharing settings, security options, and account hygiene
  • Coordination with your domain, DNS, and hosting services, which we manage as well, so email problems are never stuck between vendors

Support requests are handled through our ticket system, with response-time targets published in our service level agreement. You always know where your request stands and what to expect.

From Assessment to Go-Live in Five Steps

Every engagement follows a clear path, so you know what happens next at every point:

  • Assessment: we review your current email, domain, DNS, and the way your team works today
  • Recommendation and plan: you receive a written proposal covering scope, schedule, and cost
  • Domain and DNS preparation: domain verification completed and records staged ahead of time
  • Migration and configuration: data moved, users created, and security settings applied
  • Go-live and handoff: cutover during the agreed window, verification of every mailbox, and orientation for your team

Ready to see what your path would look like? Request an assessment and we will map it out with you.

Frequently Asked Questions

What is Google Workspace?

Google Workspace is a cloud productivity suite from Google LLC that combines Gmail on your own domain with Google Drive, Google Meet, Google Calendar, and the Docs, Sheets, and Slides editors, under one business account per user, managed from a central administration console.

Do I need my own domain?

Yes. Business addresses like name@yourcompany.com require a domain you control. If you do not have one yet, we can help you register one and manage its DNS as part of the same project.

Can Xponzy sell me Google Workspace licenses today?

Not yet, and we prefer to say so plainly. Direct licensing through Xponzy is pending authorization, and we are not currently an authorized Google reseller. You can join the waitlist through our contact form to be notified when that changes, and our consulting, migration, and support services are available right now.

Can you migrate from Microsoft 365?

Yes. We migrate mail, calendars, and contacts from Microsoft 365, plan the mapping between the platforms, and support your team through the change in tools and habits.

Can you migrate from cPanel email?

Yes. cPanel and other IMAP mailboxes are the most common starting point we see. Messages and folder structures are transferred and then verified mailbox by mailbox against a pre-migration inventory.

How long does a migration take?

It depends on the number of mailboxes and the volume of data. Small teams often go from assessment to completed cutover within a few business days, while larger or more complex environments can take several weeks. Your written plan includes a timeline for your specific case.

Will I lose email during the migration?

Our process is built around a zero-data-loss objective. Historical mail is pre-staged before the cutover, recent messages are synchronized during it, and results are verified against the inventory before the project is closed.

What happens to my DNS?

We update your MX records to route mail to Google, publish SPF, DKIM, and DMARC records, and lower TTLs beforehand so the change propagates quickly. Records for your website and other services are left untouched.

Do you offer support after migration?

Yes. Post-migration support is part of every project, and ongoing managed support is available through our ticket system, with response-time targets published in our service level agreement.

How do I get started?

Send us a note through the contact form with your current email provider and the approximate number of mailboxes. We will reply with an assessment and a recommended plan, and you can join the licensing waitlist in the same message.
